Why the PayPal history matters

On a bank statement, a PayPal charge usually shows up as something like "PAYPAL *XXXX" — no merchant, no context. That is exactly where forgotten subscriptions hide: a streaming service, cloud storage, a software licence, all still billing because nobody recognises the line. Your PayPal activity log names every merchant properly, which makes it the more useful file of the two.

Download your transaction activity

  1. Log in to your PayPal account on the website.
  2. Go to History.
  3. Click the download icon.
  4. Choose Custom, then pick the report type you want.
  5. Set the date range and file format, then click Download once the report is ready.

For formal monthly statements, use paypal.com/reports/accountStatements instead: request the month you need, then download it once it has generated.

Formats, history and limits

  • Formats: CSV, TAB and PDF, plus dedicated Quicken (QIF) and QuickBooks (IIF) files. CSV is the one to pick for analysis.
  • History: up to seven years available, but 12 months per request. Three years of data means three separate downloads.
  • Volume: CSV and TAB reports are capped at 50,000 records. Beyond that, PayPal splits the report across several files delivered as a ZIP.
  • Processing time: small logs download immediately, but a large report can take up to five business days to generate. Plan ahead if you need several years.

Read it alongside your bank export

The useful move is to analyse both: PayPal to identify the merchants, your bank export to see what actually leaves the account.
