Statements are PDFs, exports come from the transaction list

HSBC UK draws a firm line between the two, and it trips people up. Your monthly statement is a PDF document and that is the only format it comes in. The spreadsheet formats — CSV and Excel (.xls) — are not a version of the statement; they are a download from the transaction list, a separate screen with its own rules.

Same money, two paths. Knowing which one you are on saves a lot of clicking.

Download your transactions as CSV or Excel

  1. Log in to Online Banking in a desktop browser.
  2. Select the account you want to export.
  3. Open the search and filter options and set the date range you need.
  4. Choose Download, then pick CSV, Excel (xls) or PDF.

The mobile app will show and download statement PDFs, but the CSV and Excel options live in Online Banking on a computer.

How far back each route goes

Statements are the generous side: HSBC keeps up to six years of them in online and mobile banking, so an old PDF is rarely a problem to retrieve.

The transaction export is the restrictive side. It reads from the recent activity list rather than from a statement period, and retail accounts are typically limited to a short rolling window — often a few weeks at a time. Covering a full year usually means several downloads, then stitching the files together in a spreadsheet.

That is worth planning for rather than discovering halfway through: set the earliest date range first and work forward, so you do not lose track of which weeks you already have.

Other big UK banks split things differently — Barclays offers a wider set of formats in one go, and Lloyds leans on the midata standard for personal accounts.

With a few months of transactions in one file, recurring charges become obvious in a way they never are inside a single statement — the dormant subscription, the duplicate service, the annual renewal that arrives before you have thought about whether you still want it.
